A merge in HubSpot is permanent. HubSpot’s own knowledge base says it plainly: it is not possible to unmerge records. Yet in most portals we open, duplicates are merged in bulk with whatever default was selected, and nobody decided in advance which record should survive.
That decision now has a proper home. As part of the Fall 2026 Spotlight, HubSpot added duplicate merge rules, a public beta that lets you define which record wins when you merge duplicate records in HubSpot. If you own a Data Hub Professional or Enterprise subscription, this is worth an hour of your admin’s time before the next cleanup.
What changed
The manage duplicates tool already finds likely duplicate contacts and companies. By default it compares properties such as name, email and phone for contacts, and domain name and company name for companies.
Until now, when you merged in bulk, you picked one of five fixed criteria: most recent engagement, oldest engagement, created first, created last, or most recently updated. “Most recently updated” can easily pick the record an integration touched last night instead of the one your reps work in.
Merge rules replace that guesswork with your own logic. Each rule applies to one object and holds up to five criteria, checked in order:
- Property condition: the record that meets a condition you set on a property, for example a specific lifecycle stage or an assigned owner.
- Most associated objects: the record with more associated records.
- Most activities logged: the record with more logged activity.
- Highest fill rate: the record with the greatest number of properties that have a value.
You also choose a tie-breaker for cases where the criteria do not separate the two records. The Spotlight also lists a merge preview, similarity score filtering and higher pair limits for larger portals.
Who this matters for
Why the winner matters: according to HubSpot’s merge records article, the primary record’s property values are generally kept, and the secondary record’s values only fill empty fields. Timeline activities and associations from both records carry over. For contacts, the furthest lifecycle stage and the most marketable status are kept, so a merge can quietly turn a non-marketing contact into a marketing one and change your bill. Heads of sales feel a wrong winner as the wrong owner on a record. Heads of marketing lose source values from the losing record wherever the winner already has one. Founders who import from several systems or sync product data need a written winner rule most.
Tiers, as stated in the knowledge base: reviewing duplicates one by one needs a Professional or Enterprise edition of Marketing Hub, Sales Hub, Service Hub or Smart CRM. Bulk management, custom duplicate rules and the merge rules beta need Data Hub Professional or Enterprise. Users need the Data quality tools access permission plus edit rights on contacts or companies, or Super Admin.
What to check in your portal
- Size the problem. Go to CRM > Contacts, click Actions, then Manage duplicates. Repeat for companies. Review the top pairs before anyone merges.
- Export the audit trail you already have. In the same tool, click Actions, then Export merge history.
- Write the rule on paper first. Agree with sales and marketing which record should win, one sentence per criterion.
- If you have Data Hub Professional or Enterprise, build it: go to Data Management > Data Quality, open the Rules tab and click Create duplicate merge rule. Add criteria in the agreed order, set the tie-breaker and save.
- Test on a small batch. Merge ten pairs, then check owner, lifecycle stage, marketing status and source on the results.
- Reject false pairs instead of ignoring them. Rejected suggestions stop appearing, and you can undo a rejection within 14 days via View history.
Our take
This is a good update aimed at the right problem. But the rule is only as good as the decision behind it. Most duplicate problems we see are process problems: two forms creating contacts with different emails, an integration that creates companies without a domain, reps adding records by hand without searching first. A merge rule cleans up the result. It does not stop the source.
So the real cost is not the ten minutes of configuration. It is the one or two hours where sales and marketing agree on what “the right record” means, plus a person who owns duplicates as a recurring task. If nobody on your team will review the duplicates table every week or two, a clever rule will just sit there.
