HubSpot Marketing Contacts: Stop Paying for Dead Records

A contact who unsubscribed from all your email two years ago cannot receive a single campaign from you. Neither can an address that hard bounced last spring. In many portals both are still set as marketing contacts, which means both still count toward the number your Marketing Hub bill is based on.

HubSpot marketing contacts are the one part of the subscription where the price moves with your data rather than with your decisions. Nobody approves a tier upgrade. A form or a workflow pushes the count over the line and it happens overnight. The rules are simple. The catch is timing.

What HubSpot marketing contacts are, and why they set your bill

When you buy Marketing Hub Starter, Professional or Enterprise, you choose a contact tier. According to HubSpot’s marketing contacts overview, only contacts with the status Marketing contact count toward that tier and affect the cost of the subscription. Everyone else is a non-marketing contact. You can store them, and HubSpot does not bill you for them.

The rule that makes this expensive sits in HubSpot’s marketing contacts billing article: exceed your tier by even one marketing contact and the account is upgraded to the next tier automatically. HubSpot states that these upgrades cannot be prevented once the limit is exceeded, and that you are billed for the higher tier until your next renewal date, even if your count drops later. Tiers are not downgraded mid-term.

What you can and cannot do with non-marketing contacts

Setting someone as non-marketing does not delete the record. It stays in the CRM for sales and service. What you lose is three marketing tools for that contact:

  • Marketing emails, including follow-up emails after a form submission.
  • Contact segment audiences in the ads tool.
  • Marketing actions in workflows, such as Send email and adding contacts to or removing them from ads audiences.

What still works, per the same HubSpot article: one-to-one sales emails, sequences, registration emails, ticket kickback emails, transactional emails and customer feedback surveys.

When a change to non-marketing actually takes effect

This is the part most teams get wrong. HubSpot’s page on setting contacts as non-marketing says you can update a contact’s status at any time, but the change does not take effect until after the next update date. Until then the contact still counts.

The update date depends on how you pay. On a monthly subscription it is the same day of the month as your renewal. On a yearly subscription it is the first day of each month. You can see yours under Account & Billing, then Marketing Contacts, as Next update date.

The rule is not symmetrical. Setting a contact as marketing takes effect immediately, and that contact counts at least until the next update date. Cleaning up today does not make room for a campaign list tomorrow. The room appears on the update date.

A cleanup also does not lower a tier you have already been moved into. It frees capacity. The tier comes down only at renewal, and HubSpot asks for a downgrade request at least five business days before the renewal date, through your Contract Manager on Professional and Enterprise or a support ticket on Starter.

Which sources create marketing contacts by default

A common assumption is wrong here: imports and integrations are not the usual leak. HubSpot’s list of default marketing statuses by tool says:

  • HubSpot forms set contacts as marketing by default. The switch is per form: open the form, click Edit form, open the settings, and turn off Set new contacts as marketing contacts. While the switch is on, an existing non-marketing contact who submits the form is turned back into a marketing contact.
  • Non-HubSpot forms also default to marketing. One switch covers all of them, under Settings, Marketing, Forms, on the Non-HubSpot Forms tab.
  • Imports default to non-marketing. Contacts become marketing only if someone ticks Set these contacts as marketing contacts in a single-file contact import.
  • Integrations and the API default to non-marketing. Apps can be switched to create marketing contacts under Settings, Integrations, Marketing Contacts, as described in HubSpot’s integration settings article. The switch affects only contacts created after it is turned on.
  • Chatflows default to non-marketing, with a switch on each chatflow’s Options tab.

So when the count grows faster than expected, look at forms first, then at workflows that use the Set marketing contact status action, then at who ticked the import checkbox. The property Marketing contact status source type shows which tool last set the status on a record.

Segments that are usually safe to set as non-marketing

These are the groups we check first. The property names are HubSpot’s default contact properties. The cutoffs are yours to set. Add Marketing contact status is Marketing contact to every filter.

A cleanup routine to reduce HubSpot marketing contacts cost

  1. Find your dates. In Account & Billing, Marketing Contacts, note current marketing contacts, your tier limit, the next update date and your renewal date.
  2. Start with HubSpot’s own cleanup tool. On the same page click Clean up contacts. HubSpot shows unsubscribed and bounced groups by default, and you can add segments or advanced filters.
  3. Build the other segments from the table as active segments, so they keep updating after this first pass.
  4. Get sign-off, then schedule. Send the counts per segment to the heads of marketing and sales. Only the inactive segment usually needs a conversation. Click Schedule changes in the cleanup tool, or select contacts in CRM, Contacts and use More, then Set as non-marketing contacts. The property Marketing contact until next update shows Yes on every queued contact. Filter on it to confirm the number.
  5. Fix the sources. Turn off the marketing switch on forms that do not collect leads: support requests, careers, customer surveys.
  6. Set a ceiling and limit access. A Super Admin or a user with Modify Billing permission can click Set maximum under Maximum Marketing Contacts. Once it is reached, contacts from imports, forms, workflows and chatflows are created as non-marketing. Then turn off Marketing contacts access for users who do not need it.

Keep it clean with a recurring workflow

On Professional and Enterprise, the monthly chore can be automated. Create a contact-based workflow, use membership of your hard bounce and unsubscribed segments as the enrollment trigger, and add the Set marketing contact status action with the value Set as non-marketing. Each enrolled contact is queued and changes status on the next update date.

We keep the inactive segment out of automation at first. Run it by hand for two or three cycles and automate once sales stops finding surprises. Watch for one conflict: a form with the marketing switch on turns a contact back to marketing the moment they submit it. On a support form, that quietly undoes your cleanup.

HubSpot requires Professional or Enterprise for workflows. On Starter the routine is a calendar reminder a few days before the update date and a short session in Clean up contacts.

Our take

Most companies pay for more HubSpot than they use, and marketing contacts are the clearest example. In most portals we audit, a visible share of the billed contacts cannot be emailed at all. That is why it is check 9 in our HubSpot audit checklist.

It is a process problem more than a tool problem. HubSpot’s controls are good. What is usually missing is an owner. Nobody decided which forms should create marketing contacts, and nobody looks at the count before the update date. HubSpot does notify billing contacts at 75, 90 and 98 percent of the tier, but that person is often in finance and does not know what the email means.

One honest flaw in the model: because a change to non-marketing waits for the update date, you cannot react your way out of a spike. The only defense is a maximum set in advance and some headroom.

The work itself is small: one longer session for the first cleanup, then a short monthly check. If nobody on your team owns it, it is the kind of routine our HubSpot admin as a service covers.

Do unsubscribed and bounced contacts count as marketing contacts in HubSpot?

Yes, if their status is still Marketing contact. HubSpot counts the status, not whether the contact can receive email. That is why HubSpot’s Clean up contacts tool shows unsubscribed and bounced groups first.

When does setting a contact as non-marketing lower my HubSpot bill?

The status changes on your next update date: the monthly renewal day on monthly plans, the first of the month on yearly plans. That frees capacity in your current tier. The tier itself, and so the price, can only go down at your subscription renewal.

Can I still email non-marketing contacts in HubSpot?

You can send one-to-one sales emails, sequences, transactional emails, ticket emails and feedback surveys. You cannot send marketing emails, use marketing actions in workflows or include them in ads audiences built from contact segments.

This week, ask your admin for three numbers: current marketing contacts, the tier limit and the next update date. Then ask how many of those contacts have a hard bounce or have unsubscribed from all email. If that number is large, schedule the cleanup before the update date and set a maximum the same day. If your renewal is near, do it now, because renewal is the only moment the tier can come down.
