HubSpot credits: what spends them and who should watch

Key takeaways
HubSpot credits are spent by AI agents, most email sends and workflow actions such as task creation and lead rotation. They reset monthly without rollover, and features pause when they run out unless you buy packs. Budget owners should review usage in Account & Billing, switch off unused workflows and name one owner before adding capacity.

A workflow someone built for a trial last spring still creates a task for every new contact. Nobody looks at those tasks. Under HubSpot credits, that workflow now spends part of your monthly allowance every time it runs, and the allowance does not wait for you to notice.

HubSpot credits are the usage layer behind AI agents, many workflow actions and email sends. If you own the HubSpot bill, you need to know what spends them, where to see it and who decides what happens when they run out.

What changed: how HubSpot credits work

HubSpot’s credits and billing article says every account on seat-based pricing gets an included monthly amount. Several features cannot run without it, including the Customer, Prospecting and Data agents and Data Studio syncs. Nothing is spent until an action fires, such as a Breeze action inside a workflow or a recurring automated job.

The guide to using HubSpot credits adds what budget owners usually miss. Credits are also used by email sends (marketing, transactional and automated, but not one-to-one emails from a connected or hosted inbox) and by workflow actions such as rotating a record to an owner, creating a task and sending a webhook. The included amount depends on your edition (Starter, Professional or Enterprise).

Four rules matter for the budget:

  • No rollover. Credits reset every month with your usage period. Unused credits expire.
  • Running out pauses features. Without additional capacity packs, features that use credits pause until the next reset.
  • Extra packs change the default. Capacity packs raise your monthly limit. For packs bought on or after September 16, 2026, pay-as-you-go is the default, and usage beyond the limit is charged at HubSpot’s pay-as-you-go rate.
  • A spend limit is set for you. After you buy capacity packs, HubSpot sets an account-level spend limit up to 50% above your total monthly credits. You can lower it and set limits for individual tools.

Who this matters for

Founders and finance leads who sign the renewal: part of the bill becomes a usage number. Heads of marketing: every email send counts, so a large newsletter list and a busy nurture program spend credits together. Heads of sales: lead rotation and automatic task creation are now metered, and an agent pilot uses the same pool.

Only users with paid seats (Core, Sales, Service and Revenue Seats) and Partner Seats can use credits. Free users and View-only Seat users cannot.

What to check in your portal

  1. Open your usage from the account name menu at the top right: go to Account & Billing and open the Usage & Limits tab. Note which features spent credits last month.
  2. Look for the HubSpot credits icons on the tools your team uses. HubSpot added them to show which features consume credits.
  3. List the workflows that send emails, rotate records, create tasks or call webhooks. For each one, write down its owner and whether anyone still uses the output.
  4. Check who gets the alerts. Usage warnings at 75%, 85% and 90% go to Super Admins and the people listed as Billing contacts. If those people do not read HubSpot email, nobody hears the warning.
  5. If you bought capacity packs, review the account-level spend limit and decide whether specific tools need their own limit. Only a Super Admin or Billing Admin can turn on overages.

Our take on HubSpot credits

Credits are a fair model for usage that really varies, and for teams that run an agent or a heavy automation program it can be the right way to pay. The problem is not the model. It is that most portals we open have automations nobody owns. Under a fixed fee, a forgotten workflow was just noise in the data. Under credits, it competes for the same monthly pool as the agent pilot your sales team asked for.

So before you buy a capacity pack, spend an hour on the workflow list. Switch off what nobody uses and see what the next month looks like. That is the same logic as trimming marketing contacts: pay for what the team actually uses.

The second decision is ownership. Someone has to read the usage tab once a month and answer the 75% alert. In a company without a HubSpot admin, that job lands on whoever gets the email, usually finance, who cannot tell a useful workflow from a dead one. If nobody can own it, keep the pause behavior and do not turn on overages yet. A paused feature is annoying. An overage nobody understood is a harder conversation. If you are deciding who that owner should be, our note on in-house vs outsourced HubSpot admin covers the hours.

FAQ

What uses HubSpot credits?

The Customer, Prospecting and Data agents and Data Studio syncs need credits. So do email sends, except one-to-one emails from a connected or hosted inbox, and workflow actions such as rotating a record to an owner, creating a task and sending a webhook. Look for the credits icons in HubSpot to see which features count.

Do HubSpot credits roll over to the next month?

No. Credits reset every month at the start of your usage period, and unused credits expire. Buying more than you use in a typical month does not build a reserve.

What happens when HubSpot credits run out?

If you have not bought additional capacity packs, features that use credits pause until the next reset. If you have, usage beyond your monthly limit is charged at the pay-as-you-go rate, up to the spend limit you set.

This week, open Account & Billing, read last month’s usage and match the top lines to the workflows behind them. Then name one person who answers the 75% alert. Those two steps tell you whether you need more credits or fewer forgotten automations.
