Hire a HubSpot Administrator? Count the Admin Hours First

Key takeaways
Hire a HubSpot administrator only after counting the admin hours your portal generates each week. If the work fits in a few hours or comes in bursts, a part-time or outsourced admin fits better; near a full-time load, hire. Test candidates on permissions, data model, workflows and reporting, not certificates.

Do you need to hire a HubSpot administrator, or do you need someone to own HubSpot four hours a week? The answer depends on one number most teams have never counted: how many hours of admin work the portal actually generates each week.

Teams usually ask after something breaks: a report stops matching the forecast, or a workflow emails the wrong list. Below is what the role includes, how to test a candidate, and when HubSpot administrator services fit better than a full-time hire.

What a HubSpot administrator actually owns

The job is keeping four things true over time.

  • Users and permissions. Who can see, edit, export and delete what. HubSpot splits permissions across CRM, Marketing, Sales, Service, Data Management, Automation, Reporting and Account areas, and a Super Admin can reach almost every tool and setting, per the HubSpot user permissions guide.
  • The data model. Properties, pipelines, lifecycle stages and required fields, and the rules for who changes them.
  • Workflows. Building, testing and retiring automation. Workflows require a Professional or Enterprise subscription.
  • Reporting. Dashboards that leadership trusts because the underlying definitions do not drift.

Plus the recurring work: onboarding and offboarding users and cleaning up after imports.

Who this matters for

Three groups feel this most. SaaS teams on Professional, where workflows and reports grow faster than planned. Companies on Enterprise, where features such as permission sets and property-level view and edit access exist and someone has to design and maintain them. And teams whose “admin” is a marketer doing it on the side.

Before you hire a HubSpot administrator, count the hours

Do this over two weeks before writing a job description.

  1. Count users and who can change what. Go to Settings, then Users & Teams. Note how many users are Super Admins. If more than a couple of people have full access, start there.
  2. Review recent admin activity. Super Admins can open Settings, then Account Management, then Audit Logs. The centralized audit log records logins, property updates, workflow actions, permission changes, imports and exports made by users. Count last month’s changes to settings and properties: that is your current admin load.
  3. List active workflows. Open Automation, then Workflows. Count active workflows and how many have an owner who could explain them.
  4. Check who restricts sensitive data. On Enterprise, open Settings, then Properties, pick an object, hover over a property and choose More, then Manage access.
  5. Log requests for two weeks. Send every HubSpot request to one place (new users, report changes, broken automations, imports) and note the time each takes.

If the total fits in a few hours a week, you are hiring for a part-time job. If it approaches a full week and grows with headcount, a dedicated person makes sense.

How to test a HubSpot administrator candidate

Certifications show study, not judgment. Give candidates a short exercise on four areas:

  • Permissions: a new SDR joins tomorrow. What access do they get, and what do they not get, and why?
  • Data model: sales wants a new deal stage. What do they check before adding it, and what else breaks if it is added carelessly?
  • Workflows: show a workflow that enrolls the wrong contacts. How do they find the cause without switching it off for everyone?
  • Reporting: the pipeline report and the forecast disagree. Where do they look first?

Good answers start with questions about your process. Weak answers start with a setting.

Our take

The honest question is budget and specialists: who will own HubSpot, and how many hours will that take. A full-time in-house admin is the right call when the counted load is consistently high, the portal runs on Enterprise with custom objects or complex permissions, and HubSpot changes are tied to weekly business decisions.

For most growing SaaS teams we see a different picture. The load comes in bursts: heavy during a rollout or a new hub, light for weeks after. A full-time hire then spends half the time looking for work, or quietly becomes a second marketing ops person. In those cases a part-time or outsourced admin, with a clear owner on your side who approves changes, costs less and keeps the portal consistent.

Either way, the admin cannot fix what onboarding never set up. If users were never trained on which fields matter, a new admin will spend their first quarter on cleanup. Start with our HubSpot audit checklist so the hire, or the service, begins with a known baseline. For a deeper comparison of the two models, see in-house vs outsourced HubSpot admin.

FAQ

Should I hire a HubSpot administrator or outsource it?

Hire when the counted admin work is close to a full-time load and tied to daily decisions. Outsource or go part-time when it comes in bursts. Count the hours for two weeks before you decide.

What do HubSpot administrator services include?

Typically user and permission management, property and pipeline changes, building and maintaining workflows, reports and dashboards, and data cleanup after imports. Ask any provider who approves changes on your side and how they document them.

What skills should a HubSpot admin have?

Solid understanding of permissions, the CRM data model, workflows and reporting, plus the habit of asking about the process before changing a setting. Test those with a short practical exercise rather than relying on certificates alone.

This week, turn on a simple request log and spend twenty minutes in Audit Logs counting last month’s changes. Two weeks from now you will know whether you are hiring a person or buying hours, and you will have the job scope written down either way.
