HubSpot deal progression: what AI deal updates need from you

Key takeaways
HubSpot deal progression reads calls, emails and notes and suggests deal updates and next steps on the deal record. It needs Sales or Service Hub Professional or Enterprise, and parts are in public beta. Before you turn it on, write clear exit criteria for each deal stage and pilot it with a few reps.

Ask a head of sales why a deal sits in “Proposal sent” three weeks after the prospect went quiet and the answer is usually the same: the rep forgot to move it. HubSpot deal progression is HubSpot’s attempt to take that job off the rep. It reads calls, emails and notes, then suggests what should change on the deal. The catch is that it can only suggest changes your pipeline already defines.

If you run Sales Hub Professional or Enterprise and your forecast depends on reps updating deal stages by hand, this is worth an hour of your admin’s time this week. If your stages mean different things to different reps, fix that first.

What changed

Deal progression was part of HubSpot’s Fall 2026 Spotlight on September 16, presented as AI that surfaces deal updates and drafts follow-ups. The mechanics are described in HubSpot’s knowledge base article Move deals forward with deal progression.

In short, a deal progression card appears on the Catch-up tab of a deal record. It shows:

  • CRM update suggestions based on logged emails, notes and call or meeting transcripts. A rep accepts or rejects each one, or approves them all at once.
  • Next best actions, such as sending an email, scheduling a meeting, creating a task or re-engaging a quiet deal.
  • Recent and upcoming activities, plus deal health information including deal scores.

Setup includes an optional sales methodology: HubSpot offers templates for BANT, MEDDIC, SPICED, SPIN and MEDDPIC, or you can build a custom one.

One detail matters for planning. HubSpot’s product marketing presents deal progression as a released feature, but the knowledge base still requires a Super Admin to enroll the account in the Deal Progression: Next Best Actions and Deal Plans public beta. Treat parts of it as beta and expect them to change.

Who this matters for

According to the knowledge base, you need Sales Hub or Service Hub Professional or Enterprise, and each user needs an assigned Sales Seat or Service Seat. Starter and free portals are out.

  • Heads of sales who forecast from deal stage and close date.
  • Founders and CFOs watching the bill. Default HubSpot properties do not use HubSpot Credits, but capturing values into custom properties does. If your deal record depends on custom fields, that is ongoing spend, not a one-time setup.

What to check in your portal before turning on HubSpot deal progression

  1. Check the inputs. The knowledge base lists HubSpot’s Notetaker connected to Zoom, Microsoft Teams or Google Meet, recording and transcription turned on, and reps’ email inboxes connected. If half the team logs calls by hand or not at all, the suggestions will be thin.
  2. Enroll in the beta. A Super Admin has to join the Deal Progression: Next Best Actions and Deal Plans public beta before the full card is available.
  3. Open the setup. Click More, then go to Agents > Agent Hub and open deal progression. Setup has three steps: connect transcripts, set up smart data capture, and add context.
  4. Pick a short property list for smart data capture. Start with the few deal properties your forecast actually uses, and add custom ones only once you know their credit cost.
  5. Add your sales methodology. Choose one of the templates or build your own. Skip this and the AI has no idea what “qualified” means in your pipeline.
  6. Pilot with two or three reps for two weeks. Count accepted and rejected suggestions. A high rejection rate usually points to a stage definition problem, not a model problem.

Our take

This is a good feature for teams that already have a defined sales process. The AI reads a conversation and matches it to your stages. If “Demo completed” has no exit criteria, it can only guess, and the rep can accept that guess in one click. Most HubSpot problems are process problems, and this one is no different: the portal records how your team really sells.

So the first job is not technical. Write down, for each deal stage, what has to be true to enter it and who confirms it. In most portals we audit, that document does not exist, or lives in one person’s head. If you want an outside view on it, that is the kind of work our HubSpot consulting covers.

Then look at ownership. Someone has to choose the properties, watch credit usage and review rejection rates, every month. If nobody on your team has that time, do not turn it on yet. A half-configured AI that writes guesses into your pipeline is worse than a rep who forgets.

Finally, onboarding. Reps need to know that accepting a suggestion is a decision they own. We cover how to set that expectation in our HubSpot onboarding checklist for a sales team.

FAQ

Does HubSpot deal progression move deal stages automatically?

No. It suggests updates on the deal progression card, and a user accepts or rejects them, one at a time or all at once.

Which HubSpot plan do I need for deal progression?

Sales Hub or Service Hub Professional or Enterprise, with an assigned Sales Seat or Service Seat for each user. Parts of it require a Super Admin to enroll the account in the Deal Progression: Next Best Actions and Deal Plans public beta.

Does HubSpot deal progression use HubSpot Credits?

For custom properties, yes. HubSpot’s knowledge base says capturing data into custom properties requires HubSpot Credits, while default HubSpot properties do not.

This week, take your pipeline’s stage list to your sales lead and write one line of exit criteria for each stage. If you can finish that in an hour, turn on the pilot. If you cannot agree on it, that is your real forecasting problem, and no AI card will solve it for you.
